Common Errors
Solutions for common error messages in the Meelio Desktop App.
"Failed to Load Session"
When: Opening a past consultation in the Chat workspace.
Cause: The consultation data couldn't be retrieved from the server.
Fix:
- Click Try Again to retry loading
- If it persists, check your internet connection
- Click Return to Dashboard and try again later
"Transcription is still in progress"
When: Viewing the Chat workspace after stopping a recording.
Cause: The audio is still being transcribed on the server.
Fix: Wait for the transcription to complete. This usually takes a few minutes for Enhanced (Batch) mode. The page will update automatically.
"No transcript captured — recording discarded"
When: After stopping a recording.
Cause: The recording was canceled or no audio was captured.
Fix:
- Ensure your microphone is working and has the required permissions
- Check that Meelio has both Microphone and Screen Recording permissions
- Try starting a new consultation
"Something went wrong during transcription"
When: After stopping a recording.
Cause: The transcription service encountered an error.
Fix:
- Check your internet connection
- Try recording a new consultation
- If the issue persists, contact support
"Meelio couldn't open its window. Please open Meelio again."
When: Launching Meelio on Windows.
Cause: Meelio's main window failed to load when the app started.
Fix:
- Click OK to close the message. Meelio closes itself.
- Open Meelio again from the Start menu or your shortcut.
- If the message keeps coming back, contact support.
"A recording is still running"
When: The Meelio window reloaded during a recording.
Cause: The recording kept running in the background, but Meelio couldn't reconnect to it.
Fix:
- Click Stop & save on the warning.
- Meelio stops the recording and keeps the audio on the Unsaved recordings page.
- Open Unsaved recordings and click Retry to upload the recording for transcription.
"This recording is still in progress. Stop it first, then try again."
When: Clicking Retry or Delete on the Unsaved recordings page.
Cause: That recording is still running.
Fix: Stop the recording, then try again.
"Something went wrong" / "The app ran into a problem"
When: A page of the app fails to display.
Cause: Meelio hit an unexpected problem while showing the page. Before version 1.1 the window could turn white; now it shows this screen instead.
Fix:
- On Something went wrong, click Reload page. The header and your open tabs stay as they are, and the rest of the app still works.
- On The app ran into a problem, click Reload.
- If it keeps happening on the same page, contact support and say which page and what you clicked.
"This request was too large for the assistant to read at once"
When: Sending a chat message, usually one that asks the assistant to read a very long document or many records at once.
Cause: What the assistant would have to read for this question is more than it can take in one go.
Fix: Ask again with a narrower question — for example about one document, one section or one date range — or start a new chat.
"You no longer have access to this organisation" / "This account is archived"
When: Meelio signs you out and shows one of these messages on the sign-in screen:
- "You no longer have access to this organisation. Ask its admin if you think this is a mistake."
- "This account is archived. Ask your organisation's admin to reactivate it."
Cause: An admin of your practice removed or archived your account, and Meelio signed you out.
Fix: Ask your practice's admin. An archived account can be reactivated (see Team Management); after a removal, the admin can invite you again.
Backend Unavailable
When: Various actions fail or the app shows a connection error page.
Cause: Meelio's servers are temporarily unreachable.
Fix:
- Check your internet connection
- Wait a few minutes and try again
- If the issue persists for more than 15 minutes, check the Meelio status page or contact support
"This code isn't valid for your account" / "This invitation has expired"
When: Entering an invite code during onboarding.
Cause: The invite code is incorrect, has expired or been revoked, or was sent to a different email address.
Fix:
- Double-check the invite code from your invitation email
- Ensure you're signed in with the same email address the invitation was sent to
- Ask your organization admin to resend the invitation
"Failed to create organization"
When: Creating an organization during onboarding.
Cause: Server error or network issue.
Fix:
- Check your internet connection
- Ensure all required fields are filled in (organization name, country, first name, last name)
- Try again after a moment
"This document changed" / Edit Conflicts (409 Errors)
When: Editing a document (such as a clinical note or care plan) while another session or the AI assistant updates that same document in the background.
Cause: An edit conflict occurs because the version you are editing on your screen is out of sync with the latest version saved on the server.
Fix: Meelio ensures that your unsaved draft is never lost or silently overwritten during a conflict. When a conflict occurs:
- An amber Artifact Conflict Banner will appear at the top of the document viewer stating: "This document changed - This was changed by [the AI assistant/another session] while you were editing."
- Reload latest: Click Reload latest to fetch and review the newest server version. (If the reload fails due to network issues, click Try reload again).
- View your unsaved version / View latest version: Click this button to seamlessly toggle between the newly saved server version and your unsaved draft. This allows you to easily review what changed, copy any of your unsaved edits, and manually re-apply them to the latest version before saving.
Detailed Server Error Messages
Whenever an action (such as saving a note, updating a setting, or connecting an integration) fails, Meelio now surfaces the precise server-side error message instead of showing generic status text (e.g., "HTTP 500 Error" or "An error occurred"). This helps you immediately identify the specific cause of the failure and correct any input errors yourself. If you need to contact support, please take a screenshot or write down this specific error message to help our team resolve your issue faster.
