Cliniko
Connect Cliniko to bring your patients and appointments into Meelio, and send notes back as treatment notes.
Connect your Cliniko account to bring your patients and their appointments into Meelio, and send your notes back to the patient's Cliniko chart as treatment notes.
Note: Cliniko is offered to practices Meelio has switched it on for, and sending notes to Cliniko is switched on for each practice separately. If you use Cliniko and don't see it under Settings → Integrations, or don't see Send to Cliniko, contact support.
Admin only: EHR integration setup requires admin permissions.
Connecting
Meelio connects to Cliniko with an API key from your Cliniko account:
- Log in to Cliniko.
- Open My Info → Manage API keys.
- Create a new API key and copy it.
- In Meelio, go to Settings → Integrations and click Connect next to Cliniko.
- Paste the key and connect.
Important: Copy the key whole, including the region suffix at the end (for example
-au2). The suffix tells Meelio which Cliniko region your clinic is in; without it Meelio connects to the wrong one.
Practitioners
Meelio matches your practitioners to their Cliniko profiles by email address. Anyone it can't match can link their own profile with Link my calendar under Settings → Integrations, and an admin can match the whole team with Select calendar.
Files in a patient's Cliniko chart are not imported into Meelio's Documents tab.
Sending Notes to Cliniko
Once sending is on for your practice, a Send to Cliniko button appears in a consultation's chat, in a patient's chat and on a consultation in the patient's chart.
- Click Send to Cliniko.
- Under Documents, tick what you want to send. Everything you tick goes to Cliniko as one treatment note, with one section per document.
- A clinical note or care plan has to be approved first. Until it is, it shows "Approve the current version before sending".
- Meal plans are not offered.
- A document you already sent shows "Sent to Cliniko" with the date. Sending it again adds another note.
- Under Treatment note, give the note a Title.
- Under Save in Cliniko as, choose:
- Draft — can be edited and finalised in Cliniko.
- Final — can't be edited afterwards, not even by a Cliniko administrator.
- Click Send draft to Cliniko or Send final note to Cliniko.
Cliniko can take a moment. If it takes longer, Meelio shows "Waiting for Cliniko. This can take up to a minute. Keep this window open." When the note is in, you see Sent successfully and "Sent to Cliniko as a draft" or "Sent to Cliniko as a final note".
When Cliniko Hasn't Confirmed the Note
If Cliniko doesn't answer in time, Meelio shows Cliniko hasn't confirmed the note yet. The note may already be in the patient's chart, so don't send it again from scratch. Click Check again: Meelio looks in Cliniko first and only sends the note if it isn't there. If you close the dialog while Meelio stays open, it opens on the same check the next time you click Send to Cliniko for that patient.
When the Note Landed on Another Patient
In the rare case Cliniko files the note on a different patient, Meelio shows Action needed: the note landed on another patient's record and does not send it again. Archive the note in Cliniko:
- A draft you can archive yourself.
- A final note has to be archived by a Cliniko administrator.
Click Copy details to copy the note's Cliniko id, title and when it was sent. If you can't find the note, send these details to support.
When Sending Doesn't Work
- "Sending to Cliniko is off for your clinic." — Sending isn't switched on for your practice. Contact support.
- "Sending to Cliniko is unavailable right now. Nothing was sent." — Try again later.
- "Cliniko didn't accept the note. Nothing was created." — Followed by the reason. Check the note and try again, or contact support if it keeps happening.
Disconnecting
- Go to Settings → Integrations.
- Click Disconnect next to Cliniko.
- Confirm the disconnection.
Disconnecting stops the sync. Patient data already in Meelio is kept.
